# Notes

Add coaching feedback directly to recorded conversations.

**Notes** help you turn conversation review into clear, actionable coaching. Use them to highlight what a team member did well, point out opportunities to improve, or capture important context for later. Notes can apply to an entire conversation or, on the web, to a specific moment in the recording or transcript.

You can control who can see each note, allowing you to share feedback with the team member who recorded the conversation, keep it private, or make it visible to everyone with access to the conversation.

## **Add coaching feedback**

You can add notes while reviewing a conversation on the web or mobile app.

On the web, you can add general feedback or attach a note to a specific moment in the recording or transcript. On mobile, you can add a general note from the conversation's **Notes** view.

### **Add a note from the transcript**

When reviewing the transcript on the web, hover your mouse over the section where you want to leave feedback and select **Note**.

<div data-with-frame="true"><figure><img src="https://2671034909-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6CbdWFCK3k3xCglm07Jo%2Fuploads%2FhJ1OOhcruk0Gp3MmFFNo%2Fimage.png?alt=media&amp;token=3ea9f679-e970-4eb5-8613-573a64d4d53e" alt=""><figcaption></figcaption></figure></div>

Enter your feedback to create a note associated with that part of the conversation. The note appears alongside the relevant transcript section and is also shown in the **Activity** tab.

Timestamped transcript notes make it easier for team members to understand exactly which part of the conversation your feedback refers to.

### **Add a note from Activity**

You can also add feedback while reviewing the recording from the **Activity** tab.

Play the recording and enter your feedback in the **Add a note** field. To attach the note to the moment you are reviewing, select **Pin at \[timestamp]**, such as **Pin at 1:28**, then select **Add note**.

<div data-with-frame="true"><figure><img src="https://2671034909-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F6CbdWFCK3k3xCglm07Jo%2Fuploads%2F2ulU9f0JupoTLpcgPduM%2Fimage.png?alt=media&amp;token=62383973-4d85-4822-bc86-f6730fa201c4" alt=""><figcaption></figcaption></figure></div>

The timestamp is shown with the note, and a marker appears at that point on the recording timeline.

For timestamped notes, **Copy link to moment** copies a link that opens the recording at that specific point.

### **Add a note on mobile**

You can add a general note from the Porter mobile app while reviewing a conversation.

1. Open the **Conversations** tab.
2. Tap the conversation you want to review.
3. Select the **Transcript** tab.
4. Open the **Activity** view.
5. Enter your note and add it to the conversation.

Mobile notes are general notes and cannot be attached to a specific timestamp because the recording and its timeline are not available in the mobile Notes view.

When adding a note on mobile, the only available action is **Add**, so you cannot choose who the note is visible to from the mobile app.

Mobile notes are useful when you want to capture additional context about a visit or conversation for later reference.

Once a note has been added from the mobile app, it cannot be edited or deleted from the mobile app.

## **Choose who can see your feedback**

On the web, you can control who can see each note:

* **Visible to \[team member name]** — Shares the note with the team member associated with the conversation. This is based on the person selected in the **Recorded by** field.
* **Only me** — Keeps the note private.
* **Everyone** — Makes the note visible to everyone with access to the conversation.

This gives you flexibility to keep private coaching observations for your own reference or share feedback with the people who need it.

***

## **Manage notes**

Once a note has been added on the web, select the three-dot menu next to the note inside the gray note box to see the available actions.

**Copy link to moment** is available when the note is associated with a specific timestamp. It copies a link that opens the recording at that exact point.

**Edit** lets you change the note's content.

**Delete** removes the note.

Mobile notes cannot be edited or deleted from the mobile app after they are added.

***

## **Get notified about coaching feedback**

When a note is added from the web app, the team member associated with the conversation receives an email notification, regardless of who the note is visible to.

The email indicates that **\[manager or note author] tagged you in a conversation**.

When a note is added from the mobile app, the associated team member receives an email stating **\[team member] added a note to a conversation**.

Both notification emails include:

* **View note** — Opens the note in the web app.
* **Open in the Porter app** — Opens the conversation in the mobile app.

These notifications help team members find feedback without needing to regularly check conversations for new notes.

***

## **Expand the notes view**

When you need more space to review the recording and its notes, select **Full view** on the right side of the **Activity** and **Transcript** tabs.

Full view expands the section and hides the conversation details, giving you more room to review the recording and notes.
